Withdrawal Policy
Purpose & Scope
The purpose of this document is to outline Piki Te Hauora’s policy for handling requests to withdraw from an enrolled Piki Te Hauora Te Reo Course. Enrolees need to be mindful that placements are limited, therefore holding a place in one of our Courses can effectively prevent another person from enrolling, and it is often the case that someone might be turned away, even up to just prior to Course commencement and lose the opportunity to begin this hīkoi with us. Our withdrawal policy therefore reflects the fact that withdrawal from enrolment can mean more than a simple reduction in class numbers, and it is only in special circumstances, as described in the policy, that a refund, or a cessation of direct debits will be applied. Commitment to the Course is deemed to be for the whole Course.
This policy applies to all Ākonga who have enrolled in a Piki Te Hauora Te Reo Course and seek to withdraw from the entire Course.
Definitions
Course means any Te Reo course conducted by Piki Te Hauora, delivered either via online or face to face method.
Ākonga means any individual enrolled in a Piki Te Hauora Te Reo course (‘Course’).
Confirmed Enrolment means an individual’s enrolment in a Course for which a non-refundable deposit has been paid, deemed current for the duration of the Course.
Withdrawal from the entire Course means termination of an Akonga’s confirmed enrolment in a Course upon the Ākonga’s request.
Special Circumstances means a set of unforeseen and unpredictable circumstances rendering an Ākonga unable to complete a Course.
Kaiako means teacher of a Piki Te Hauora Course.
Policy
Withdrawal Pre-requisites
An Ākonga may elect to withdraw from the Course without penalty at a cut-off date no later than 2 days prior to commencement of the first scheduled class for their Course, after which the Course is deemed to have commenced.
An Ākonga must demonstrate that they have made every effort to complete the Course once commenced by the following means, including but not limited to:

explicit reason(s) for the request to withdraw
any relevant documentary evidence supporting the reason(s) given for their request to withdraw
Withdrawal will not be permitted unless special circumstances have been demonstrated by the Ākonga.
Piki Te Hauora requires 4-weeks’ notice before a withdrawal will be granted, unless otherwise approved by Piki Te Hauora.
This means that notwithstanding the outcome of an Ākonga’s request to withdraw from a Course, for the four weeks following the date of their submission of a request to withdraw from their Course, monies owing toward completion of the Course will be due and payable.
It is at the sole discretion of Piki Te Hauora to determine whether special circumstances have been demonstrated by the Ākonga.
Notifications
Piki Te Hauora will advise an Ākonga in writing on the outcome of their application.
